Working across departments and with a cross-functional knowledge management working group, the Advisor will define standards, coordinate content owners, guide lifecycle decisions, support priority content migration, and build staff capability to store, find, share, and reuse organizational knowledge. The role will also support program learning capture and dissemination and will establish practical measures of knowledge management health, adoption, and effectiveness.

  • Define and implement baseline governance, taxonomy, naming conventions, permissions standards, ownership requirements, and lifecycle practices for Teams and SharePoint.
  • Establish and operate a deliberate site request, provisioning, review, and retirement process in collaboration with technical and business stakeholders.
  • Coordinate decisions and timelines to archive, consolidate, migrate, or decommission stale, duplicate, and orphaned sites and content.
  • Maintain a prioritized remediation backlog, workplan, decision log, and risk register, and report progress to Operations leadership.

Microsoft 365 Content Management

  • Review and strengthen OneJhpiego information architecture, navigation, search, page ownership, and maintenance practices.
  • Partner with departmental content owners and knowledge management points of contact to assess relevance, duplication, currency, accessibility, and business value of content.
  • Coordinate migration of priority resources, including program learning materials, into OneJhpiego or another designated system of record.
  • Refresh high-traffic pages, resolve priority content gaps, and establish content review and expiration routines.
  • Promote content management practices that improve findability and create a more reliable source of truth for staff and enterprise search or AI-enabled discovery.

Knowledge Sharing, Learning and Adoption

  • Support systematic capture and dissemination of lessons learned, technical updates, best practices, and other priority learning across Jhpiego’s global portfolio.
  • Provide practical guidance, training, job aids, and office-hours support on where and how to store, manage, find, and share information.
  • Support knowledge exchange mechanisms, communities of practice, and collaboration among country, project, technical, and operational teams as priorities are established.
  • Plan and deliver change communications and adoption activities that reinforce governance responsibilities and desired staff behaviors.

Measurement and Continuous Improvement

  • Define, baseline, track, and report knowledge management health, governance, usage, search-success, content, and user-experience measures.
  • Use metrics, audits, staff feedback, and service trends to prioritize improvements and adapt the annual knowledge management workplan.
  • Assess readiness and information quality considerations for enterprise search and AI-enabled knowledge discovery initiatives.
  • Document standards, processes, decisions, and lessons to support continuity and institutional memory.

Stakeholder Engagement and Function Management

  • Facilitate a cross-functional knowledge management committee or working group to support governance decisions, prioritization, adoption, and accountability.
  • Build effective partnerships with Operations, technology, program, technical, country, communications, legal, security, privacy, and records stakeholders, as applicable.
  • Develop and manage the annual knowledge management workplan and coordinate internal or vendor capacity required to deliver agreed priorities.
  • Provide concise decision briefs, recommendations, status updates, and escalation of risks to organizational leadership.

Required Qualifications

  • Advanced Degree in organizational development, communications, public health or a related field
  • 5-7 years of experience and proven track record of designing and implementing a successful KM system in an international organization
  • information architecture, taxonomy, metadata, permissions, search, content lifecycle, and governance.
  • Ability to inventory and assess collaboration sites and repositories, identify duplication and risk, and translate findings into prioritized remediation plans.
  • Experience strengthening intranet and enterprise content environments to improve navigation, discoverability, accessibility, and content quality.
  • Ability to establish practical standards, policies, operating procedures, decision rights, and intake and retirement workflows.
  • Experience facilitating governance decisions and building consensus among diverse technical, operational, program, and country stakeholders.
  • Strong project and change management skills, including work planning, risk management, stakeholder communications, training, and adoption support.
  • Experience in knowledge capture, curation, synthesis, dissemination, and reuse, including lessons learned and technical or program learning content.
  • Ability to define and report meaningful operational and user-centered metrics, interpret findings, and improve services based on evidence.
  • Excellent written, verbal, facilitation, and presentation skills, with the ability to communicate technical concepts to non-technical audiences.
  • Sound judgment, diplomacy, attention to detail, and the ability to balance competing priorities and deadlines.
  • Ability to travel up to 30% of the time
