Overview

Jhpiego is an international, non-profit health organization affiliated with The Johns Hopkins University. For more than 50 years and in over 155 countries, Jhpiego has worked to prevent the needless deaths of women and their families. Jhpiego provides technical support to Ministries of Health across the globe in areas including HIV/AIDS, maternal and newborn health, family planning, health workforce development, cervical cancer prevention, malaria, and IPC/WASH. In Eswatini, Jhpiego is implementing the Reaching Impact Saturation and Epidemic Control (RISE) project. RISE is a multi-country project funded by the U.S. Government to save lives and improve health through integrated, evidence-based approaches to address urgent gaps in lifesaving services. RISE works across all levels of the health system to strengthen the HIV/TB epidemic response, to limit the spread of deadly disease outbreaks through Global Health Security (GHS) programming, and to reduce preventable morbidity and mortality through integrated maternal, newborn, and child health (MNCH), nutrition, tuberculosis (TB), and malaria services. Since 2019, RISE has supported programs in more than 25 countries across Africa, Asia, and Latin America.  

 

Responsibilities

The Human Resources Assistant will provide administrative and operational support to the HR Manager to ensure efficient delivery of HR services within Jhpiego Eswatini. The incumbent will assist in HR administration, compliance, employee relations, payroll, recruitment, and onboarding processes while ensuring adherence to local labour laws and Jhpiego policies. The incumbent will serve as the day-to-day liaison with the Employer of Record.  This role requires close collaboration with the HR Manager and Senior HR Officer to promote effective HR practices and support organizational goals.

 

Key Responsibilities:

  • Maintain confidential and accurate employee records, both physical and electronic (JEMS), ensuring data integrity and compliance with local labour laws and Jhpiego policies.
  • Support the timely processing of HR documentation such as employment contracts, contract renewals, and onboarding materials.
  • Assist in administering HR policies and procedures in collaboration with the HR Manager, ensuring compliance with Eswatini labour laws and donor requirements.
  • Support HR audits by preparing necessary documentation and coordinating responses.
  • Handle recruitment administrative processes including job advertisements, shortlisting, scheduling interviews, conducting reference checks and recruitment for EOR sourced HRH
  • Act as the day-to-day liaison with the Employer of Record to ensure timesheet, leave and payroll documentation and accuracy.
  • Handle timesheet, leave data and payroll entry on HRIS for all staff.
  • Process employee benefits enrolments, including facilitating introductions to Jhpiego’s medical scheme
  • Execute logistics for staff welfare initiatives, team building, retreats, wellness activities, and staff recognition programs.

 

Required Qualifications

  • Diploma in Human Resources Management, Business Administration, Public Administration, or a related field.
  • 3 – 4 years of relevant HR experience, preferably within donor funded international NGOs, with familiarity of USG or similar donor environments preferred.
  • Strong knowledge of Eswatini labor laws and HR best practices.
  • Proficient computer skills, including demonstrated experience with HRIS, MS Word, Excel, and PowerPoint.
  • Excellent organizational, multitasking, and data management skills with high attention to detail.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Strong verbal and written communication skills in English.
  • Excellent interpersonal skills
  • Proactive, self-motivated, and able to work independently with minimal supervision.
  • Ability to work effectively in a multicultural and multidisciplinary environment.
  • Cooperative, dependable, flexible with a pleasant and professional demeanor.
