Overview

The Reaching Impact Saturation and Epidemic Control (RISE) program is saving lives and improving health by controlling the HIV pandemic and strengthening global health security to limit the spread of deadly disease outbreaks. RISE uses evidence-based practices from over 20 years of PEPFAR implementation to address critical HIV priorities along with global health security (GHS), maternal, newborn, and child health and Nutrition (MNCH-N), tuberculosis (TB), Malaria, data systems, supply chain and commodity management, and other cross-cutting areas. In Burundi, Jhpiego is recruiting an Asset, Inventory and IT Assistant for the MNCH-N project supporting Burundi’s lifesaving MNCH-N services. 

Responsibilities

The Asset, Inventory and IT Assistant supports the management of organizational assets, inventory, and office supplies while providing first-level IT support to staff. S/he maintains asset and inventory records, supports asset tracking and verification activities, monitors inventory levels, and contributes to compliance with Jhpiego policies and procedures. The position contributes to efficient project operations through the effective management of organizational assets, inventory, office supplies, and technology resources.

Duty Station: Bujumbura, with possible occasional travel to provinces if operationally required.

Position Reports To: Senior Finance & Operations Manager

Specific Duties and responsibilities

 

Asset and Inventory Management

  • Maintain accurate records of organizational assets and inventory, including office supplies and other consumable items, in accordance with Jhpiego policies and procedures.
  • Ensure all assets are properly tagged, recorded, assigned, and tracked throughout their lifecycle.
  • Maintain records of asset acquisitions, assignments, transfers, repairs, disposals, and location changes.
  • Monitor inventory levels of office supplies and other consumable items, establish appropriate reorder levels, and initiate replenishment requests as needed to avoid stock shortages.
  • Conduct periodic asset and inventory verification exercises and support annual physical inventory processes.
  • Report shortages, losses, damages, expired items, or discrepancies and support their timely resolution.
  • Maintain asset and inventory documentation and prepare reports as required.

 

Information Technology Support

  • Provide first-level IT support to staff for computers, printers, mobile devices, internet connectivity, Microsoft Office applications, Outlook, Teams, and other approved software.
  • Configure, deploy, maintain, and troubleshoot office technology equipment.
  • Support user account setup, software installation, device configuration, and onboarding and offboarding activities.
  • Assist in maintaining the functionality of office networks, internet services, and communication systems.
  • Coordinate routine maintenance, repairs, warranty claims, and replacement of technology equipment as needed.
  • Escalate technical issues through established support channels and follow up on their resolution.

 

Compliance and Operational Support

  • Support compliance with Jhpiego policies related to information technology, asset management, inventory control, information security, and data protection.
  • Support the receipt, inspection, deployment, transfer, maintenance, and disposal of organizational assets and inventory.
  • Support office operations requiring asset management, inventory management, or IT assistance.

 

Other Duties: Perform any other duties assigned by the Senior Finance & Operations Manager or Project Director consistent with the position’s responsibilities.

Required Qualifications

  • Bachelor's degree in Information Technology, Information Systems, Business Administration, Logistics, Supply Chain Management, or a related field.
  • Minimum of four (4) years of relevant experience in asset management, inventory management, IT support, or a related operational support role.
  • Experience maintaining inventory records, asset registers, or related tracking systems.
  • Experience supporting computer hardware, software, and office productivity applications.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Fluency in French and Kirundi, with working knowledge of English.

Preferred Qualifications

  • Experience working with donor-funded projects.
  • Experience with electronic asset or inventory management systems.
  • Familiarity with U.S. Government-funded projects.
