Overview

Jhpiego is an international, non-profit health organization affiliated with The Johns Hopkins University. For 50 years and in over 155 countries, Jhpiego has worked to prevent the needless deaths of women and their families. Jhpiego Corporation has been providing technical support to the Ministries of Health in partner countries across the globe in a variety of technical areas including cervical cancer treatment and prevention, community health, HIV and AIDS, maternal and newborn health, health workforce capacity development family planning, malaria, and IPC/WASH.

 

The Reaching Impact, Saturation and Epidemic control (RISE) project is a five-year global US Department of State funded project, with a period of performance from Apr. 15, 2019 – Dec. 30, 2027.  RISE supports countries to respond to the HIV epidemic and COVID-19 pandemic by providing technical assistance, service delivery, research, and cross-cutting health system innovations. RISE partners with ministries of health, local stakeholders, and non-governmental organizations in more than 25 countries around the world to advance strategic and policy objectives to control the transmission of HIV and COVID-19. Working across the HIV prevention, care, and treatment cascade, RISE bridges country-led efforts to reach the UNAIDS 95-95-95 goals by 2030. To address the COVID-19 pandemic, RISE provides short-term, emergency response aid, alongside longer-term health systems strengthening, to achieve pandemic preparedness. Targeted technical assistance includes strengthening health information systems, human resources for health, supply chain, and health financing.

 

The Human Resources Assistant will provide crucial HR administrative and operational support to the HR Manager to ensure efficient delivery of HR services within Jhpiego Eswatini. The incumbent will assist in HR administration, compliance, employee relations, recruitment and onboarding processes while ensuring adherence to local labour laws and Jhpiego policies. This role requires close collaboration with the HR Manager to promote effective HR practices and support organizational goals.

 

Responsibilities

HR Administration & Compliance Support:

  • Maintain confidential and accurate employee records, both physical and electronic (JEMS), ensuring data integrity and compliance with local labour laws and Jhpiego policies.
  • Support the timely processing of HR documentation such as employment contracts, contract renewals, and onboarding materials.
  • Assist in administering HR policies and procedures in collaboration with the HR Manager, ensuring compliance with Eswatini labour laws and donor requirements.
  • Support HR audits by preparing necessary documentation and coordinating responses. 

Recruitment & Onboarding Assistance:

  • Assist with the end-to-end recruitment process including job advertisements, shortlisting, scheduling interviews, conducting reference checks and drafting offer letters.
  • Coordinate onboarding and orientation activities to ensure new employees are integrated smoothly and understand organizational policies and benefits.
  • Facilitate introductions to Jhpiego’s medical scheme and assist in benefits administration. 

Employee Engagement & Welfare:

  • Coordinate staff welfare initiatives, team building, retreats, wellness activities, and staff recognition programs.
  • Promote organizational values, culture, and positive workplace engagement.

Communication, Knowledge Sharing & Compliance:

  • In the absence of the HR Manager, provide HR updates to staff and stakeholders.
  • Facilitate internal communication on HR matters across departments.
  • Ensure compliance with Jhpiego policies, procedures and code of conduct.

 

Required Qualifications

  • Diploma in Human Resources Management, Business Administration, Public Administration, or a related field.
  • 3 – 4 years of relevant HR experience, preferably within donor funded international NGOs or similar donor environments preferred.
  • Strong knowledge of Eswatini labor laws and HR best practices.
  • Proficient computer skills, including demonstrated experience with HRIS, MS Word, Excel, and PowerPoint.
  • Excellent organizational, multitasking and data management skills with high attention to detail.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Strong verbal and written communication skills in English.
  • Excellent interpersonal skills
  • Proactive, self-motivated and able to work independently with minimal supervision.
  • Ability to work effectively in a multicultural and multidisciplinary environment.
  • Cooperative, dependable with a pleasant and professional demeanor.
