Overview

The Ministry of Health through the HMIS Unit in collaboration with RISE project has identified an increased demand for timely and accurate data entry and management. Facility level data capture and backlog management are critical to ensuring high quality reporting and supporting evidence-based decision making. To meet these need effectively, a pool of roving data clerks will be deployed on a need’s basis across project sites in both regions (Hhohho and Shiselweni). This approach will allow for flexibility in addressing workload surges, particularly around reporting periods and ensuring sustainability. The Roving data clerks will support facilities with backlog clearance, data entry, and other documentation tasks essential for project reporting and accountability.

Responsibilities

  • Register patients and reactivate users in CMIS supported sites
  • Capture down time forms in CMIS once the system is up after a down time
  • Update lab results into CMIS including Viral Load
  • Clean client Pin Numbers in CMIS
  • Trouble shoot minor CMIS problems in facilities
  • Manage Tier 1 system issues working with the regional SID HMIS analyst
  • Report Tier 2 and 3 CMIS facility problems to Regional and National level
  • Conduct routine data quality audits at facility level for key indicators and data elements
  • Using facility CMIS dashboard conduct data checks, quality control and profiling to ensure complete and accurate data capture and entry weekly
  • Generate routine data queries for health program monitoring
  • Produce and submits routine monitoring reports to regional or national HMIS officer as required
  • Inculcate a culture of data use for decision making through basic analysis of facility data to produce basic statistical reports
  • Coordinate refresher trainings on CMIS in consultation with regional HMIS office
  • Ensure availability of approved data collecting tools at health facilities. (E.g. patient health cards, ANC cards, down time forms)
  • Ensure complete data migration into CMIS
  • Compile and submit monthly activity report to RHMIS Analyst
  • Assist facility to extract its data for MDTs and QI reviews
  • Coordinate weekly data quality reviews and data cleaning sessions at facility level
  • Capture data in other electronic systems used for patient management
  • Perform other duties as assigned by the supervisor.

Required Qualifications

  • Diploma in information systems, or other relevant disciplines
  • Previous experience in data collection, especially in health facility-based programs or studies
  • Experience in health information system management is added advantage
  • Strong numerical skills and attention to detail
  • Strong interpersonal skills
  • Flexibility to adapt to changing requirements
  • Culturally sensitive and has strong team building skills
  • Computer proficiency in Windows, MS Office Package, and e-mail, and knowledgeable in the use of standard office equipment
  • Highly organized, meticulous attention to detail and reliable
  • Comfortable working independently and developing new procedures and systems
  • Ability to work or travel to peripheral health facilities with possibility of relocating.
