Overview

MOMENTUM Country and Global Leadership (MCGL), funded by the U.S. Government, is a global mechanism that saves lives and improves access to quality, integrated health services by distributing life-saving commodities, medicines, and vaccines, and providing critical health care services for pregnant mothers and children under five. The project provides safe childbirth for mothers and babies, vaccinates children, treats deadly illnesses and malnutrition, and controls disease outbreaks.  

 

The Project Support Officer is responsible for providing efficient administrative, logistics, and operations support to the MCGL project. Responsibilities include establishing and maintaining office systems, consultant contract tracking, events management, staff travel, and maintaining calendars.

Responsibilities

  • Support in managing office systems and functions – coordinating mail distribution, arrangements for meetings and/or presentations, maintaining project calendars, photocopying, procurement requests, etc.
  • Develop, maintain, and update project filing and archive system (hard & soft); keep and organize program documents systematically and ensure availability of those for the team as and when required.
  • Maintain schedule of major events and meetings
  • Monitor submission of project deliverables and follow-up with project staff as necessary
  • Coordinate with finance and procurement team for effective program delivery; liaise with finance, HR, administrative and IT teams for smooth office operation.
  • Organize and coordinate project and technical workshops, trainings, and meetings; prepare budgets, organize venues, send invitations, and provide logistic support during the workshop/training
  • In close coordination with the Sub Awards team, maintain a strong network with different types of vendors and make them aware about Jhpiego’s supplier policy and guideline
  • Collect and compile administrative reports, take meeting minutes, and other documents as required
  • Ensure timely organization of travel, accommodation, transportation, and logistics arrangements
  • In close coordination with the Operations Manager, maintain compliance database for U.S. Government (USG) laws and policies and coordinate regular reporting and communication with the global project team

Required Qualifications

  • At least 3 years of relevant working experience in administrative and secretarial support
  • Sound knowledge about procurement process, office administration, vendor management, event planning and management
  • Solid experience in preparing basic budget and payment settlement with finance
  • Bangla typing using Bijoy
  • Bachelor’s degree in management/business studies/social sciences or relevant discipline.

  • Good coordinating, filing and archiving skills
  • Good English communication skills, both oral and written
  • Excellent computer (MS word, Excel & PowerPoint) operating skills
