Overview

The Office Support Staff will ensure the cleanliness, organization, and smooth functioning of the office environment. The role includes opening and closing the office, cleaning, maintenance of office premises, providing support for meetings and events, running small errands, and ensuring all assigned duties are completed efficiently and effectively.

Responsibilities

  1. Cleaning and Maintenance
  • Maintain the cleanliness and hygiene of office spaces, including workstations, meeting rooms, storerooms, bathrooms, and common areas.
  • Sweep, mop, and dust floors, furniture, and surfaces regularly.
  • Refill supplies such as tissues, soap, and other essentials in bathrooms, workstations, and common areas.
  • Clean bottles, and cups, and refill water bottles at all workstations.
  • Empty trash bins regularly and ensure proper waste disposal.
  • Clean and maintain office equipment and furniture.
  • Water plants and ensure their maintenance and cleanliness.
  1. Office Support
  • Welcome visitors and direct them to the designated staff member
  • Arrange meeting rooms, ensuring furniture setup and availability of necessary supplies (e.g., tea, coffee, water).
  • Serve refreshments to staff and visitors during meetings or events.
  • Assist with administrative tasks, such as photocopying, filing, or organizing documents, when requested.
  • Deliver and receive documents or parcels, run errands, or make small purchases as needed.
  • Welcome visitors and direct them to the designated staff member.
  1. Pantry Maintenance
  • Clean pantry areas, including washing dishes, and cleaning counters and shelves.
  • Restock kitchen and bathroom supplies.
  • Prepare and serve tea, coffee, and light snacks for staff or visitors as required.
  1. Office Logistics
  • Assist with moving or organizing office furniture and equipment.
  • Provide logistical support for events, workshops, or office gatherings.
  • Monitor office and pantry supplies, reporting shortages to the Finance Assistant or HR.
  1. Safety and Security
  • Safely store cleaning materials and pantry supplies after use.
  • Notify the supervisor or designated staff (Finance/Admin Assistant or HR) of any maintenance or repair needs.
  • Open and close the office premises on time, and comply with the safety protocols
  • Ensure all electrical appliances (e.g., lights, A/C, Wi-Fi) are turned off before leaving the office.

Required Qualifications

Required Qualifications and Experience

  • Previous experience in a similar role, preferably in an INGO or office environment.
  • Basic understanding of proper cleaning ways and the use of cleaning materials and equipment.
  • Physically fit and proactive in completing assigned work.

Skills and Competencies

  • Good time management and multitasking abilities.
  • Ability to work independently and complete tasks efficiently.
  • Polite, professional, and respectful attitude toward staff and visitors.
  • Basic communication skills.
