Overview

USAID’s Momentum Country and Global Leadership (MCGL) award is a USAID-funded global award, that works in tandem with country governments and local nongovernmental organizations to provide targeted technical and capacity strengthening assistance and contribute to the global technical leadership and policy dialogue on improving measurable outcomes for maternal, reproductive, newborn and child health, and voluntary family planning. The MCGL Jordan program will provide support to the USAID/Jordan-funded Government to Government Partnership for Health in Family Planning (PHFP) program, led by the Ministry of Health (MOH), with aims to promote and provide quality family planning services to the population of Jordan.

The Coordination and Production Officer will undertake a variety of day-to-day office and clerical tasks, the role will play an integral part in ensuring that the office operations run smoothly and are successful in supporting other business activities. The goal is to ensure that office operations are efficient and add maximum value to the organization.

 

An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills. The successful candidate will be comfortable dealing with people and be able to carry out administrative duties with accuracy and speed

Responsibilities

  • Follow office workflow procedures to ensure maximum efficiency
  • Maintain files and records with effective filing systems
  • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
  • Greet and assist visitors when they arrive at the office
  • Monitor office supplies inventory and place orders
  • Assist in vendor relationship management
  • Responds to employee concerns
  • Communicates and implements office policies
  • Prepares and schedules company activities, meetings, and events
  • Manages office supplies
  • Managing schedules for conference and community spaces
  • Monitoring and ordering inventory for office and break room supplies
  • Managing incoming and outgoing correspondence, including emails, faxes, mail and packages
  • Submitting work orders and scheduling repairs for general office space and equipment
  • Ordering repairs for office equipment and maintenance, connecting with and escorting vendors
  • Maintain a clean and organized office environment

Required Qualifications

  • High school diploma or vocational training certificate
  • Bachelor’s degree in business administration or a relevant field will be an added advantage
  • Minimum of 3+ years professional experience in a structured corporate environment preferably in the development sector working on a USAID funded project.
  • Proven experience as office coordinator or in a similar role
  • Knowledge of basic bookkeeping principles and office management systems and procedures
  • Outstanding knowledge of MS Office software
  • Working knowledge of office equipment (e.g. optical scanner)
  • Excellent communication and interpersonal skills
  • Organized with the ability to prioritize and multi-task
  • Reliable with patience and professionalism
