Overview

USAID’s Momentum Country and Global Leadership (MCGL) award is a seven-year USAID-funded global award, that works in tandem with country governments and local nongovernmental organizations to provide targeted technical and capacity strengthening assistance and contribute to the global technical leadership and policy dialogue on improving measurable outcomes for maternal, reproductive, newborn and child health, and voluntary family planning. MCGL in Jordan seeks an Admin and Operations Officer for a USAID family planning program in Jordan. The MCGL Jordan program will provide support to the USAID/Jordan-funded Government to Government Partnership for Health in Family Planning (PHFP) program, led by the Ministry of Health (MOH), with aims to promote and provide quality family planning services to the population of Jordan.

 

The Administration and Operations Officer will be responsible for organizing and managing office administration in order to ensure organizational effectiveness and efficiency. The Administration and Operations Officer will ensure that administrative processes follow Jhpiego, USAID rules and regulations, other applicable approved procedures at all times. The Admin and Operations Officer will be responsible for ensuring cost consciousness, efficiency of administrative operations and maintaining an on-site administrative system required to assure the integrity and effective performance of admin operations.

Responsibilities

  • Ensure compliance with USAID and Jhpiego’s regulations and standards.
  • Ensure that administration processes run smoothly to support effective and efficient program implementation.
  • Coordinate with IT support to ensure the functionality of office technology and systems.
  • Provide and ensure that all logistics requirements are available for the smooth running of program activities.
  • Ensure the office environment is well-maintained, clean, and safe for all staff.
  • Responsible for managing and reporting operational usage of vehicle fleet and other facility equipment.
  • Support fleet management process
  • Support planning and coordination of business travels for all country office staff
  • Organize and manage meetings, workshops, and training sessions including any needed travel logistics, accommodations and transportation.
  • Maintain lease and contract management database and ensure that renewals, extensions, termination processes are promptly initiated and completed
  • Ensure that all shipments received are properly recorded and ensure that appropriate department is informed of the arrival of each shipment.
  • Support office management and facility management process
  • HR support: Assist with the onboarding process for new hires, including orientation and training. Facilitate effective communication within the organization, ensuring all staff are informed of relevant policies and updates.
  • Establish systems to gather and address feedback to enhance administrative functions.

Required Qualifications

  • SC. in Business Administration, Public Administration, or relevant field
  • Minimum of five (5) years of demonstrated administrative experience within international organizations.
  • Previous experience with USAID is highly desired
  • Practical understanding and application of donor regulations in large and complex projects is highly desired
  • Experience in managing administrative aspects of large, complex activities.
  • Fluency in spoken and written Arabic and English required
  • Computers skills including use of automated fleet management and reporting software.
  • Working knowledge of database applications, proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Excellent organizational skills, detail-oriented and high degree of accuracy
  • Excellent interpersonal skills to effectively interact with all levels of staff and partners.
  • Strong problem-solving skills to address administrative issues promptly and effectively.
  • Ability to ensure cost-consciousness and efficiency in administrative operations
  • Good oral and written communication skills to effectively communicate findings and analyses
  • Cooperative, hardworking, flexible & dependable.
  • Be of high integrity and have a sense of confidentiality
  • Capability to develop and implement effective strategies and tactics for accomplishing assigned duties
  • Ability to work independently and as a member of a team.
  • Be self-motivated, proactive and have a positive attitude to work requiring minimum supervision.
